High-profile fundraising events require a catering operation that is invisible when running well — donors should be focused on the cause, not waiting for their plates. We staff these events with a higher floor-to-guest ratio and conduct a full venue walk-through 48 hours before the event date.
Every Pixelfswift event engagement begins with a scoping brief — a structured document we send after the initial inquiry that captures the event date, venue address, anticipated guest count, service format, and any known constraints (loading dock access, kitchen facilities, noise restrictions). Once the brief is returned, we schedule a site visit and a planning call with the lead coordinator. From there, a production timeline is drafted and shared with the client for review. We do not finalize staffing levels or equipment orders until the client has signed off on that timeline. This process means there are no surprises on the day for the client, and no operational gaps for our team.

Our minimum for full-service catering (plated or buffet with on-site staff) is 25 guests. For corporate drop-off lunch service without floor staff, the minimum is 10 guests. Seasonal tasting menus require a minimum of 20 guests.
Yes. We regularly serve events across the Calgary metropolitan area and within a 120 km radius, including Canmore, Banff, Okotoks, and Airdrie. Events beyond 120 km are assessed case by case and may include a travel and logistics supplement.
We lock in staffing and equipment based on the confirmed guest count provided 10 days before the event. Increases of up to 10% within that window can typically be accommodated; larger increases require a planning review and may affect costs. Decreases within 10 days do not reduce the quoted price.
We work with a network of Calgary rental suppliers for linens, tableware, glassware, and furniture. We can coordinate rentals on your behalf as part of our full-service offering, or provide specifications for your rental company to fulfil. The rental cost itself is passed through at cost with no markup.
